Organization Summary 

The Qatar America Institute for Culture (QAIC) is an independent 501(c)(3) non-profit organization that creates, curates, and executes programs and research that amplify the prominence of all forms of art and culture from the United States, Qatar, and the larger Arab and Islamic worlds.  

Job Summary 

Reporting directly to the Director of Operations, and working with other Directors and Managers, the Operations Manager manages the finances, human resources, office and administration affairs, and overall operational efforts to ensure they align with QAIC’s mission. The Operations Manager is primarily responsible for monitoring day-to-day operations including but not limited to office and property management, accounting, and billing to ensure successful organizational progress. The Operations Manager also supports assembling and managing a diverse portfolio of vendors and talent to support the Operations team such as bookkeepers.

Qualifications and Responsibilities: The requirements listed below are representative of the knowledge, skills, and/or abilities required to successfully perform the job as well as the education and experience requirements.

  • Oversee payroll, employee benefits, billing, and organizational assets including but not limited to office functions, property, and resources
  • Support and manage financial information, accounting, HR compliance, and reporting, including but not limited to filing, annual financial audits, and others
  • Develop and maintain methods and plans to perform operational logistics and objectives for every QAIC initiative and event
  • Manage the progress of tasks assigned to the Operations team and daily functions of Operational tools such as QuickBooks
  • Attend QAIC events when required
  • Manage scheduling and calendar management including but not limited to prioritizing inquiries and requests, troubleshooting conflicts with little guidance, and making judgments and recommendations to ensure smooth day-to-day engagements
  • Maintain an organized, clean, and tidy workspace always
  • Frequently check office supply stock; reorder supplies when needed
  • Track orders and maintain vendor relationships
  • Train and assign tasks to interns
  • Suggest changes to office task workflow to improve efficiency
  • Uphold and carry out QAIC policies and procedures
  • Work in confidential and complex nature that requires considerable discretion, independent judgment, flexibility, decision-making, and attention to detail.

The Operations Manager is thoroughly committed to Qatar America Institute for Culture’s mission. Specific requirements include:

  • At least 4 – 6 years of operations and management experience, preferably in art & culture nonprofits, or two years of experience and higher education degree (MA, MBA, or PhD)
  • Proven record of organizational administrative skills with the ability to manage people and vendors
  • Ability to develop and monitor budgets, and sustain efficient vendor and contractor correspondence, and inventory
  • Strong nonprofit accounting, finance, and human resources experience with knowledge of the industry’s legal rules and guidelines
  • Excellent verbal and written communication skills (Arabic is a plus)
  • Excellent budgeting, data analysis, and presentation skills
  • Experience in nonprofit reporting and 990 fillings
  • Proficiency in QuickBooks and other financial, accounting, and HR tools
  • Ability to work independently and effectively in collaboration with diverse groups of people

The office environment at 1319 18th St., NW, and ability to access and perform work remotely (when required) through Office Suite and Applications.
